Julya AI ("we," "our," or "us") is committed to protecting your privacy and personal information. This Privacy Policy describes how we collect, use, disclose, and safeguard your information when you use our AI-powered call handling services, website, and related applications (collectively, the "Services").

By using our Services, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with our policies and practices, do not use our Services.

Google API Services

Julya.ai's use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

This means we use your Google Calendar data only to provide and improve our appointment scheduling features, and we do not use this data for serving advertisements or for any purposes unrelated to the core functionality of our service.

Information We Collect

  • Personal information you provide when creating an account (name, email, phone number)
  • Call data and recordings when using our AI assistant services
  • Usage data about how you interact with our platform
  • Device and technical information (IP address, browser type, etc.)

Google Calendar Integration

  • When you connect your Google Calendar to Julya, we access your calendar data through Nylas, an enterprise calendar integration platform that acts as secure middleware between our application and Google Calendar.
  • What Calendar Data We Access: Your list of Google calendars (to let you choose which calendar to use), calendar metadata including timezone and availability settings, calendar events including title, time, location, and description, and free/busy information to check appointment availability
  • How We Use Your Calendar Data: Check real-time availability when callers request appointments during phone calls, automatically create new calendar events when appointments are booked, sync appointment data when you modify events directly in Google Calendar, and display your connected calendar information in the dashboard
  • Important Limitations: Our AI assistant can ONLY check availability and book new appointments. Our AI assistant CANNOT modify, reschedule, or cancel existing appointments. Our dashboard does NOT include appointment management features. You manage your appointments directly in Google Calendar.
  • Data Sharing with Nylas: Nylas (nylas.com) is our authorized calendar integration partner. All Google Calendar API calls are made through Nylas platform. Nylas is SOC 2 Type II certified and GDPR compliant. OAuth tokens are managed securely by Nylas. We do not share your calendar data with any other third parties.
  • Data Storage and Security: OAuth access tokens are stored encrypted in our database. We cache only appointment metadata (not your full calendar contents). All calendar data is transmitted over HTTPS/TLS 1.3. Calendar data is used exclusively for appointment scheduling.
  • Your Control: You can disconnect your Google Calendar at any time through your Julya dashboard (Account → Integrations). You can also revoke access through your Google Account permissions at myaccount.google.com/permissions. When you disconnect, all OAuth tokens are immediately invalidated. Your appointments remain in Google Calendar after disconnection.

How We Use Your Information

  • All data from Google APIs (including Calendar) is used only for providing our appointment scheduling features and is never used for advertising, sold to third parties, or used to build user profiles for unrelated purposes

Information Sharing

  • We do not sell your personal information to third parties
  • Your mobile information will not be sold or shared with third parties for promotional or marketing purposes
  • We will not share your opt-in to an SMS campaign with any third party for purposes unrelated to providing you with the services of that campaign. We may share your Personal Data, including your SMS opt-in or consent status, with third parties that help us provide our messaging services, including but not limited to platform providers, phone companies, and any other vendors who assist us in the delivery of text messages
  • We share data with specific service providers who help us operate our platform: Nylas (nylas.com) - Authorized calendar integration platform for Google Calendar access (SOC 2 Type II certified, GDPR compliant); Payment processing providers for billing; Cloud hosting providers for infrastructure; Analytics services for product improvement
  • We may disclose information when required by law or to protect our rights
  • Business transfers may involve sharing data with potential buyers

SMS Communications & Opt-Out

  • By providing your phone number, you agree to receive SMS notifications and appointment reminders from Julya AI. These messages may include appointment confirmations, appointment reminders, system notifications, and service updates related to your account
  • Message frequency may vary based on your activity and preferences. You may receive multiple messages per day during active appointment scheduling or when important account updates occur
  • Standard Message and Data Rates may apply. Your carrier's standard messaging rates will apply to all SMS messages sent and received. Julya AI is not responsible for any charges incurred from your mobile carrier
  • To opt out of SMS messages, reply STOP to any text message you receive from us. You will receive a confirmation message that you have been unsubscribed. After opting out, you will no longer receive SMS messages from us unless you re-subscribe by contacting support
  • For assistance with SMS messages, reply HELP to any text message you receive from us, or contact our support team at [email protected]
  • We will not share your mobile information with third parties for promotional or marketing purposes. Your phone number is used exclusively for providing our appointment scheduling and notification services

Data Retention

We retain your personal information only for as long as necessary to provide our Services and fulfill the purposes outlined in this Privacy Policy.

Retention Periods:

  • Account Information: Until account deletion + 30 days
  • Call Recordings: 2 years or as required by law
  • Usage Data: 2 years for analytics purposes
  • Support Communications: 3 years for quality assurance
  • OAuth Tokens: Until calendar disconnection + immediate invalidation
  • Calendar Metadata Cache: Until calendar disconnection + 30 days
  • Appointment Records: Retained for call history; full calendar sync not stored

International Data Transfers

Your information may be transferred to and processed in countries other than your own. We ensure that such transfers comply with applicable data protection laws and implement appropriate safeguards.

EU Users: We comply with GDPR requirements for data transfers outside the European Union.

Children's Privacy

Our Services are not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us immediately.
